Location: Hybrid — remote with occasional in-person days in NJ/NYC (Union City/Hoboken or Midtown Manhattan)

We are seeking a highly organized, proactive Part-Time Administrative & Operations Assistant to support the CEO and help keep day-to-day business operations running smoothly. This role is ideal for someone who enjoys bringing structure to a growing organization, is detail-oriented, and thrives in a fast-moving, mission-driven environment.The Administrative & Operations Assistant will handle a mix of administrative tasks, internal operations, business management coordination (including working with our accountant and tracking compliance items), business development support (helping with proposals, organizing materials, tracking leads), and internal client-onboarding tasks. You will work closely with the CEO to keep schedules organized, streamline processes, and ensure internal systems run efficiently.
This is a hybrid role based in the NJ/NYC metro area, with most work done remotely and occasional in-person meetings or work sessions as needed. Hours are typically 12–20 hours per week, with some flexibility during standard business hours.
This position is perfect for someone who loves organization, is tech-savvy, and wants to support a social-impact-focused creative agency behind the scenes.
Preferred Experience1–3+ years of experience in administrative support, operations, office coordination, or a similar role
Experience supporting an executive, founder, or small-team leader
Familiarity with basic business management tasks such as organizing documents, handling deadlines, or coordinating with accountants/bookkeepers
Experience working in a small business, creative agency, nonprofit, or mission-driven environment is a plus
Comfortable using digital tools such as Google Workspace (Docs, Sheets, Drive), project management software (e.g., Monday.com), and communication tools (Slack, Zoom, etc.)
Experience assisting with proposals, RFP coordination, or business development support is a bonus
Strong organizational and time-management skills with the ability to handle multiple tasks at once
High attention to detail and ability to work independently with minimal supervision
